Privacy Policy
The short version: we collect only what we need to do the job you asked for — remind you of a deadline, or file your accounts — and nothing else. We never sell your data. Your company authentication code is encrypted and never written to our logs. You can delete everything we hold, yourself, at the bottom of this page.
Who we are
TidyFilings is a UK filing-software service run by Ayodeji Okusanya, and is the data controller for the information described here. Contact us any time at privacy@tidyfilings.co.uk.
Just browsing or using the free checker
You can read this site and look up as many companies as you like in the free checker without giving us anything. We don't store the company numbers you check, we set no cookies — advertising, analytics or otherwise — and there are no accounts or passwords. The company information shown to you is public data from the Companies House register, which we fetch and display.
We do count how the site is used, with cookieless, privacy-preserving analytics (PostHog, processed in the EU): anonymous events such as "a check ran and found an urgent risk" or "someone started a filing", plus the standard campaign tags on the link that brought you here. These events are not linked to you across visits — no cookies, no local storage, no fingerprinting — and they never include the company numbers you look up, the figures in your accounts, your authentication code, the director names in your results, or your email address. Like any website, our hosting provider keeps short-lived technical server logs, which we do not use to build a profile of you.

Only if you tick the consent box and submit your email on the checker:

If you file your accounts with us
To prepare and transmit your dormant or micro-entity accounts, we collect and process:

We do not ask for anything we don't need, and we never collect more than the filing itself requires.
How we protect your authentication code
Your company authentication code is the credential that lets a filing be made in your company's name, so we treat it as a secret:
- Encrypted at rest. It is encrypted before it is stored, and is never held in plain text on our systems.
- Never in logs. It is excluded from our application logs, error reports, and analytics — those are built so it cannot be written out even by accident.
- Used only to file. We use it for one thing: transmitting the filing you approved to Companies House. We never share it with anyone else.
- Deleted when it's no longer needed. See "How long we keep things" below.
What we do with your data
- Reminders before a company's confirmation statement and accounts deadlines, if you asked for them.
- Filing the accounts you prepared and approved, and sending you the confirmation.
- Occasional product notes about filing tools we're building — only where the consent box mentioned it, and you can opt out any time.
We do not sell your data, share it for anyone else's marketing, or use it for anything not listed here. Payments are handled by our payment processor; we never see or store your full card details.
Who else can see it
No other person or company receives your data for their own purposes. We use a small number of suppliers who act only on our instructions:
- Google Firestore (London region) — stores reminder signups and filing records.
- Companies House — receives the filing you approve, and the authentication code needed to accept it. This is the point of the service.
- Our payment processor — takes your payment; handles your card details directly so we don't have to.
- An email delivery provider — delivers our reminders and confirmations to your address.
- PostHog (EU) — processes the anonymous, cookieless usage counts described above.
How long we keep things
- Reminder signups: until you unsubscribe or delete them. If reminders go unopened for a long time, we delete the address rather than keep emailing it.
- Your authentication code: kept only as long as needed to make and confirm your filing, and to let you file again next year if you choose to keep it on file. You can delete it at any time, and we remove it once you tell us to.
- Filing records (what was filed and when): retained while you have an account and for a limited period afterwards, so you and we have a record of filings made — never longer than the law requires.
Delete everything we hold about you
Enter the address you used. This removes every reminder record we hold for it, for every company, straight away. There is no confirmation email and no waiting. To delete records tied to a completed filing, or if you're unsure which address to use, email privacy@tidyfilings.co.uk and we'll do it by hand.
Your other rights
Under UK GDPR you can also ask for a copy of what we hold, ask us to correct it, or object to how we use it. Email privacy@tidyfilings.co.uk and we'll respond within one month. If you think we've handled your data badly, you can complain to the Information Commissioner's Office at ico.org.uk.
